2. The data we collect about you
Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).
We may collect, use, store and transfer different kinds of personal data about you, which we have grouped together as follows:
- Identity Data: title, first name and last name.
- Contact Data: email address, telephone number, country of residence and, where you provide it, postal address.
- Enquiry Data: the type of enquiry you select (private client acquisition, property strategy, international investment or partnership) and anything you tell us about your requirements, such as budget range, preferred locations, asset type and timescales.
- Due Diligence Data (only if you instruct us): information we are required by law to collect to verify your identity and the source of the funds you intend to use, such as passport or driving licence details, proof of address, and, where you act for a company or trust, details of its beneficial owners.
- Transaction Data: details of the services we provide to you, the fees agreed and paid, and correspondence relating to an acquisition.
- Technical Data: this website does not set cookies, does not run analytics and does not use tracking technologies. Our website hosting provider processes your IP address and browser information for the sole purpose of delivering the pages to you and protecting the site from abuse. We do not use that information to identify you.
We do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data). We do not seek information about criminal convictions and offences. Anti-money-laundering and sanctions checks that we are legally required to carry out may return information of that kind; where they do, we handle it only as the law requires.
If you fail to provide personal data
Where we need to collect personal data by law (for example, to verify your identity under anti-money-laundering rules) or under the terms of a contract we have with you, and you do not provide that data when requested, we may not be able to act for you. We will tell you if this is the case at the time.
3. How is your personal data collected?
We use different methods to collect data from and about you, including through:
- Direct interactions. You may give us your Identity, Contact, Enquiry and Due Diligence Data by filling in the enquiry form on this website or by corresponding with us by email, telephone, video call, post or in person. This includes personal data you provide when you make an enquiry, request property particulars, instruct us, give us feedback or make a complaint.
- Automated technologies. None. This website does not use cookies or analytics. See Technical Data above for what our hosting provider processes in order to serve the site.
- Third parties and publicly available sources. We may receive personal data about you from: introducers and professional contacts who refer you to us with your knowledge, such as wealth managers, financial brokers and other sourcing companies; sellers, their agents and solicitors in the course of an acquisition you have instructed; identity verification and anti-money-laundering screening providers, where we use one to meet our legal obligations; and publicly available sources based in the UK, such as Companies House, HM Land Registry and the Electoral Register.
4. How we use your personal data
We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:
- Where we need to perform the contract we are about to enter into or have entered into with you.
- Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.
- Where we need to comply with a legal obligation.

We do not rely on consent as a legal basis for processing your personal data, except that we will ask for your consent before sending you any marketing by email or text message. You have the right to withdraw consent at any time by contacting us.

Change of purpose

5. Disclosures of your personal data
JLJ Real Estate Ltd is a single company with no group companies. We do not sell your personal data. We may share your personal data with the parties set out below for the purposes set out in section 4.
- Service providers acting as processors, who provide website hosting, email and document storage, and, where used, electronic identity verification and anti-money-laundering screening. Our website is hosted by Cloudflare, Inc.
- Professional advisers acting as processors or independent controllers, including solicitors, accountants, insurers and bankers based in the United Kingdom, who provide legal, accounting, insurance and banking services to us.
- Parties to a transaction you have instructed us on, with your knowledge, such as sellers, their agents and solicitors, surveyors, lenders and mortgage brokers, to the extent necessary to progress the acquisition.
- HM Revenue & Customs, the National Crime Agency, the Information Commissioner's Office, the Property Redress Scheme, courts and other authorities where we are required to report or disclose information by law.
- Third parties to whom we may choose to sell, transfer or merge parts of our business or our assets. Alternatively, we may seek to acquire other businesses or merge with them. If a change happens to our business, the new owners may use your personal data in the same way as set out in this notice.
We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.
6. International transfers
We are based in the United Kingdom and keep your personal data in the United Kingdom wherever we can. Some of our service providers, including our website hosting provider, are based in or have operations in the United States. Where your personal data leaves the UK, we ensure a similar degree of protection is afforded to it by ensuring at least one of the following safeguards is in place:
- We only transfer your personal data to countries that have been deemed by the UK to provide an adequate level of protection for personal data.
- Where we use certain service providers, we use specific contracts approved for use in the UK (the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses) which give personal data the same protection it has in the UK.
- Where the recipient is certified under the UK Extension to the EU–US Data Privacy Framework, we rely on that certification.
If you contact us from outside the United Kingdom, your personal data will be transferred to and processed in the United Kingdom.

7. Data security
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. Personal data is held on access-controlled, encrypted devices and reputable cloud services. We limit access to your personal data to those who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.
We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
8. Data retention
How long will you use my personal data for?
We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements. We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect of our relationship with you.

9. Your legal rights
Under certain circumstances, you have rights under data protection laws in relation to your personal data. You have the right to:
- Request access to your personal data (commonly known as a "data subject access request"). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.
- Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.
- Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. Note that we may not always be able to comply with your request for specific legal reasons, for example where we must keep anti-money-laundering records, which will be notified to you at the time of your request.
- Object to processing of your personal data where we are relying on a legitimate interest and there is something about your particular situation which makes you want to object. You also have the right to object where we are processing your personal data for direct marketing purposes.
- Request restriction of processing of your personal data. This enables you to ask us to suspend the processing of your personal data, for example if you want us to establish its accuracy or the reason for processing it.
- Request the transfer of your personal data to you or to a third party, in a structured, commonly used, machine-readable format. This right only applies to automated information which you initially provided consent for us to use or which we used to perform a contract with you.
- Withdraw consent at any time where we are relying on consent to process your personal data. This will not affect the lawfulness of any processing carried out before you withdraw your consent.

No fee usually required
You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we could refuse to comply with your request in these circumstances.
What we may need from you
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
Time limit to respond
We try to respond to all legitimate requests within one month. Occasionally it could take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
10. Glossary
Lawful basis
Legitimate Interest means the interest of our business in conducting and managing our business to enable us to give you the best service and the most secure experience. We make sure we consider and balance any potential impact on you (both positive and negative) and your rights before we process your personal data for our legitimate interests. We do not use your personal data for activities where our interests are overridden by the impact on you (unless we have your consent or are otherwise required or permitted to by law). You can obtain further information about how we assess our legitimate interests against any potential impact on you in respect of specific activities by contacting us.
Performance of Contract means processing your data where it is necessary for the performance of a contract to which you are a party or to take steps at your request before entering into such a contract.
Comply with a legal obligation means processing your personal data where it is necessary for compliance with a legal obligation that we are subject to.

Internal third parties: none. JLJ Real Estate Ltd has no group companies.
External third parties: the service providers, professional advisers, transaction parties and authorities described in section 5.
What our hosting provider processes
To deliver the pages of this website to you and to protect it from abuse, our hosting provider processes your IP address and basic browser information for a short period. That is a necessary part of serving any website, it is not a cookie, and we do not use it to identify you. It is described in our Website Privacy Notice under Technical Data.
Typefaces
The typefaces used on this website are currently loaded from Google Fonts, which means your browser makes a request to Google's servers when a page loads. Google may record your IP address as part of serving that request. We are moving the typefaces onto our own hosting, at which point this section will be removed.

Complaints process
As a member of the Property Redress Scheme (PRS), we aim to resolve all customer complaints quickly, objectively, and fairly through our in-house procedure.
How to raise a complaint. Please email us at info@jlj-realestate.co.uk, providing as much detail as possible. Let us know exactly what the issue is and how you would like us to put things right.
Acknowledgement. We will acknowledge your complaint in writing within 3 working days of receipt.
Investigation and initial response. Your complaint will be investigated by a senior member of the team. Once we have reviewed all relevant details, we aim to respond to you in writing with a proposed resolution within 14 days.
Final viewpoint and escalation
If you remain unhappy with our proposed resolution, please let us know. Because we operate a single-stage internal review process, we will review your comments and issue a formal Final Viewpoint Letter to you.
If you still remain dissatisfied with our Final Viewpoint, or if a period of 8 weeks has passed since you first formally raised your complaint in writing and the issue is not resolved, you have the right to escalate your complaint to the Property Redress Scheme (PRS) for an independent review. This service is completely free to consumers.
Please note that you must refer your complaint to the PRS within 12 months of receiving our Final Viewpoint letter.
